Registration

A student is registered for a specific lesson/class day and time. The Academy is pleased to add new students whenever space is available however, spaces fill quickly. In order to be accepted into the Academy for the current academic year, please fill out the Student Enrollment Form. A choice of lesson schedule will not be reserved, and the student will not be able to start lessons, until the completed Enrollment Form and Registration Fee are received. Please note that all lesson schedules are filled on a first come, first serve basis. Once the registration form is received, the Academy will be in contact to discuss student/instructor placement and lesson day/time options. The Academy operates on a year-round schedule that consists of 46 weekly lessons and 6 weeks of vacation (Please see https://www.charlotteacademyofmusic.com/about/calendar/ for the Academic Calendar.)

Tuition

Payments will be setup to be either automatically drafted from a bank account or charged to a credit card as indicated on the student’s registration form. Tuition for lessons will be charged in 12 equal monthly installments. Upon registration, you will be financially responsible for the annual Registration Fee. Tuition installments will be processed on the last day of each month. The transaction settlement date will be dependent upon your designated financial institution.

Withdrawal

If a student wishes to discontinue lessons, a 30-day written notice is required by completing the formal Withdrawal Form. Once the Academy receives this withdrawal notice the 30-days will begin. Withdrawal notices further than 30-days out will not be accepted. During the 30-day notice period, the student will continue to have lessons and will be financially responsible for those lessons. For lessons stopped without the 30-day notice or no-shows to the lessons during the 30-day notice period, the student will still be financially responsible for those lessons, regardless of attendance.

Fees

An Enrollment Fee of $50.00 per student or $75.00 per family is due at the time of registration. This non-refundable fee is paid annually per Academic Year. A $25.00 NSF fee will be assessed for any returned check or declined electronic funds.

Discounts

Families who register for three or more lessons per week will receive a 5% discount off the third and additional enrollments.

Refunds

Full refunds, including registration fees, will be given in cases of insufficient enrollment that results in cancellation of a group class, summer camp, or workshop. The Academy does not issue credits for any reason.

Student Supervision

All children under the age of 12 must be escorted into the Academy by a responsible adult and remain with the responsible adult until the child is with the instructor for their lesson. For all children not yet of age to drive themselves, a responsible adult must drop-off and pick-up the student in a timely manner. The Academy is not responsible for the student before or after their assigned lesson time.

Student Absence

The instructor is under no obligation to make up lessons missed by the student. All lessons, classes or workshops cancelled because of instructor absence will be made up.

Practice

The instructor will make the student and parent aware of specific practice expectations.

Lesson Protocol

Parents are welcomed to remain in the reception area during the student’s lesson. If a student is tardy, their lesson will not be extended past their originally scheduled time.

Food / Drink / Pets

No food, drink (except bottled water), or pets are allowed inside the Academy.

Media Release

Any photographs, audio or videos of student or families at the Academy facilities or events may be used in promotional publications, social media pages or press releases. There will be no compensation for the release. However, parents may choose to exempt their students from media publications by notifying the Academy in writing prior to or at the time of registration.

Academy Closing / Inclement Weather

In the case of inclement weather, a message will be recorded on the Academy’s voicemail and a notice will be posted on the Academy’s website and Facebook page. All lessons and classes cancelled because of inclement weather will be made up by either private lesson, online lesson, or group workshop.
