The Academy is pleased to add new students whenever space is available. In order to be accepted into the Academy, please fill out the Student Enrollment Form. A choice of lesson schedule will not be reserved and the student will not be able to start lessons until the completed Enrollment Form, Registration Fee and Materials Deposit, if applicable, are received. Please note that all lesson schedules are filled on a first come, first serve basis. Once the registration form is received, the Academy will be in contact to discuss student/instructor placement and lesson day/time options.
The Academy’s academic year for Private Lessons encompasses two semesters of 19 lessons each. Music Explorers and Music Adventures classes encompass two semesters of 15 weeks each. A student is registered for a specific lesson/class day and time and is financially responsible for one Semester (or the remaining number of lessons in that Semester if starting mid-Semester). Students will be automatically registered for the next Semester using the same payment option and method unless a formal notification of withdrawal is given to the Front Desk in writing prior to the first day of the next Semester.
The Academy’s Summer Session consists of 10 weeks and includes private lessons and summer camps. A student may register for any number of lessons or camps for the summer session.
The Registration Fee of $35 per student or $50 per family is non-refundable and is due at the time of registration. This fee is paid annually per Academic Year.
In addition, a Materials Deposit of $40, for Private Lesson and Music Adventures students, will be collected at the time of enrollment for all new students. A Materials Deposit of $50 will be collected at the time of enrollment for Suzuki students. This deposit will be used to pay for materials to be used in conjunction with the registered activity. Replenishments in $40 increments will be invoiced throughout the academic year as the balance falls below $5.00. Any unused deposit at the end of the academic year will be applied to the next academic year unless a refund is formally requested in writing.
A $25.00 NSF fee will be assessed for any returned check or declined electronic funds. All invoices will be issued via email. A $10.00 late fee per week will be assessed for any payments not received by the due date.
Once the Semester has begun, students can change their lesson day and/or time with the same Instructor for a $25 change fee. Any changes are based on the Instructor’s availability. Please note that the change fee is charged each time that the lesson day and/or time is changed.
Families who register for three or more lessons per week will receive a 5% discount off the the third and additional enrollments. In addition, Charlotte Academy of Music is pleased to offer a special “Sunshine Discount” of $50 per semester (subject to proration reliant upon student’s start date) for any students who enroll for weekday lessons that begin prior to 2:00 PM.
Full refunds, including registration fees, will be given in cases of insufficient enrollment that results in cancellation of a group class or workshop.
Students may have the opportunity to secure an Academy Accompanist for Academy performances through their Instructor. The Accompanist will meet with the student one time to rehearse prior to the performance date. The Accompanist fee is $25 per student and will be invoiced separately by the Academy. For senior recitals or other performances involving more significant preparation and rehearsal time, the Accompanist will negotiate a reasonable rate with the student’s Instructor.
All children under the age of 12 must be escorted into the Academy by a responsible adult and remain with the responsible adult until the child is with the instructor for their lesson. For all children not yet of age to drive themselves, a responsible adult must drop-off and pick-up the student in a timely manner. Charlotte Academy of Music is not responsible for the student before or after their assigned lesson time.
The teacher is under no obligation to make up lessons missed by the student. All lessons, classes or workshops cancelled because of Instructor absence or Academy closing due to inclement weather will be made up.
There are no make-up lessons during the Summer Session.
The Instructor will make the student and parent aware of specific practice expectations.
Parents are welcomed to remain in the reception area during the student’s lesson. If a student is tardy, their lesson will not be extended past their originally scheduled time.
food / drink / pets
No food, drink (except bottled water), or pets are allowed inside the Academy.
Any photographs, audio or videos of student or families at Charlotte Academy of Music facilities or events may be used in promotional publications, social media pages or press releases. There will be no compensation for the release. However, parents may choose to exempt their students from media publications by notifying the Academy in writing prior to or at the time of registration.

In the case of inclement weather, the Executive Director will make a decision whether the Academy will be open. A message will be recorded on the Academy’s voicemail and a notice will be posted on the Academy’s website and Facebook page.
